Give invoices, agreements and decisions a useful home.

A filing system you can explain

Choose a naming convention that makes sense to the people who use it. Dates, document types and a unique reference are usually more useful than a folder full of files named “final”.

Keep the context

Store supporting correspondence with the relevant agreement or transaction. Record who approved a change and which version is current. Avoid leaving the only copy of an important record in an individual inbox.

Access, backup and retention

Give people access appropriate to their responsibilities and use reliable backups. Agree a retention policy with an adviser familiar with the applicable rules; this page does not prescribe a universal retention period.
